1. Purpose and responsibility
This Privacy Policy explains how Tradeovent Online handles personal information when you browse the website, request a program guide, submit a training application, communicate with the business, purchase a service, attend a session, or use learning materials. Tradeovent Online acts as the controller of information collected for its own business purposes unless a written team agreement states otherwise.
The policy is designed for a general United States audience and also describes controls that may be available under state privacy laws. It does not apply to a third-party website, payment service, video platform, or other service that publishes its own privacy terms.
2. Information collected
Information you provide may include your name, work email, phone number, organization, selected service, number of participants, learning goals, scheduling preferences, billing details, correspondence, support requests, and feedback. Please do not include customer-identifying information, health information, government identifiers, payment-card numbers, passwords, or other unnecessary sensitive data in a free-text field.
Technical information may include IP address, browser type, operating system, device characteristics, referring page, approximate region, pages viewed, timestamps, security events, and preference settings. Where payments are accepted through a provider, Tradeovent Online may receive transaction status, amount, date, billing name, and limited payment metadata but not the full card number.
3. Sources of information
Most personal information comes directly from you or from an authorized organization arranging training for its personnel. Information may also come from service providers that support hosting, payments, email delivery, scheduling, video meetings, security, or analytics, and from publicly available professional sources where necessary to verify a business request.
If an employer or team coordinator provides participant details, that organization is responsible for having an appropriate basis to share them and for giving participants any notice required by law. Participants may contact Tradeovent Online to verify or correct the information held about them.
4. Purposes of use
Personal information is used to respond to inquiries, review applications, recommend a suitable program, issue quotations and confirmations, process payment status, schedule delivery, provide session links and materials, support participants, maintain records, and send service-related communications. It may also be used to improve exercises, understand website performance, prevent abuse, protect systems, enforce terms, and comply with tax, accounting, sanctions, legal, or regulatory obligations.
Marketing messages are sent only where permitted and may be stopped at any time. Stopping marketing does not prevent necessary administrative messages about an active request, booking, payment, policy change, security issue, or service delivery.
5. Legal grounds and consent
Depending on the context and applicable law, processing is based on steps requested before a contract, performance of a contract, compliance with a legal obligation, consent, or legitimate interests such as responding to business inquiries, improving services, maintaining security, and protecting legal rights. Where consent is the basis, it may be withdrawn for future processing without affecting prior lawful use.
Tradeovent Online does not use submitted learning goals to make solely automated decisions with legal or similarly significant effects. Basic automated controls may check form completeness, spam indicators, rate limits, or security signals before a message is accepted.
6. Disclosure and service providers
Information may be disclosed to vendors that provide website hosting, email delivery, payment processing, scheduling, video conferencing, document storage, security, professional advice, and business administration. They receive only information reasonably needed for their function and are expected to protect it under contractual or legal duties.
Information may also be disclosed when required by law, court order, or valid governmental request; to investigate fraud, security incidents, or threats; to protect participants and legal rights; or as part of a merger, financing, reorganization, or transfer of business assets subject to appropriate confidentiality. Personal information is not sold for money. Tradeovent Online does not knowingly share personal information for cross-context behavioral advertising.
7. Retention
Inquiry and unsuccessful application records are generally kept for up to twenty-four months so the request can be followed up, duplicate messages can be recognized, and service planning can be improved. Booking, invoice, payment, and tax records may be retained for seven years or longer where law requires. Participant administration records are generally retained for up to four years after delivery; optional marketing records are kept until withdrawal or until no longer useful.
Security logs and form rate-limit data are usually retained for a shorter period unless needed to investigate an incident. Information may be retained longer where reasonably necessary for a legal claim, audit, dispute, fraud prevention, or explicit preservation obligation. When retention ends, information is deleted, de-identified, or securely archived as appropriate.
8. Security
Reasonable administrative, technical, and organizational safeguards are used to reduce unauthorized access, loss, misuse, alteration, and disclosure. Measures may include encrypted transmission, access controls, password protection, limited administrative privileges, vendor review, backups, logging, form validation, and secure SMTP configuration.
No internet transmission or storage system can be guaranteed completely secure. You should avoid sending sensitive information through ordinary form fields and should notify Tradeovent Online if you believe a message, account, or session link has been compromised.
9. Your privacy choices and rights
Depending on your residence, you may have rights to know or access personal information, correct inaccurate information, request deletion, obtain a portable copy, withdraw consent, restrict or object to certain processing, or appeal a denied privacy request. You may also ask for confirmation that personal information is not sold or used for targeted advertising.
A request should identify the person making it, the right being exercised, and enough information to locate the relevant record. Identity may be verified before disclosure or deletion. An authorized agent may submit a request where permitted, but proof of authority and direct verification with the individual may be required. Tradeovent Online will not discriminate against a person for exercising a valid privacy right.
10. Children, international access, and updates
The services are intended for adults and are not directed to children under 13. Tradeovent Online does not knowingly collect personal information from a child under 13. If such information is identified, it will be deleted unless law requires another action.
Information may be processed in the United States and other locations used by service providers. Those locations may have different privacy laws. Appropriate contractual and operational safeguards are used where required. This policy may be updated as services, vendors, law, or practices change; the updated date identifies the current version.
